Terms & Conditions For Rentals

By renting our product you agree to these terms and conditions:

 

Payments: All payment is due in full up front at the time of booking. This ensures that your date is secured and the items are reserved exclusively for your event. We have moved to a full-payment model to provide a more streamlined checkout experience and to avoid the use of third-party partial payment apps that may complicate the booking process.

Disclaimer: By renting our floral arrangements you understand that though some of these flowers look real, and are named after real flowers, some of them are in fact artificial, and therefore only resemble the real flower for which it is named after, or referred to.

 

Balance due must be paid in full at the time of reservation. If payment is not made in full, flowers and decor will not be reserved, and this contract will be closed at the determination of Rose Haven Rentals Inc.

If Rose Haven Rentals Inc. determines the contract can still be fulfilled after a failed payment attempt and you wish to continue the contract, there will be a 10% fee added to the balance due and an additional 10% fee for each 7 days that the balance remains unpaid. Any extraordinary costs incurred due to late payment will be passed on to you.

 

Additions less than 30 days prior to the wedding/event, will be accepted up to 7 days prior to the wedding/event and must be paid within 24 hours. No guarantee is given that the same flowers will be available and pricing will be determined according to what is available. Color and style will be matched as closely as possible.

 

Substitutions: Rose Haven Rentals Inc. reserves the right to make substitutions in the event the flowers or decor received are not of the quality suitable to wedding/event. The integrity of the proposed look and color scheme will be maintained and flowers of equivalent value will be used. Rose Haven Rentals Inc. will inform you if a dyed flower is being used and will not be held liable for staining to any garments due to their usage.

 

At the time of the initial booking, adjustments can still be made to the invoice. Large additions and subtractions are accepted up until 30 days prior to the event. There is a guaranteed minimum payment of 85% of the original proposal. Any liability on the part of Rose Haven Rentals Inc. is limited to the full refund of monies paid minus the administrative fees.

Due to fluctuating flower prices, price increases may occur and will be passed onto the customer if their rental includes fresh flowers. The customer will be notified as soon as Rose Haven Rentals Inc. is made aware of these increases. Rose Haven Rentals Inc. will send the customer an invoice for the additional cost, to be paid within 30 days of the event.

 

Price is for 1 setup/location only. Additional fees will apply if the desired rental item is to be moved from the ceremony to the reception, or anywhere else. If you need any item moved from the ceremony, to the reception, or anywhere else, an additional moving and setup fee will be required.

 

Our arches, arbors, pillars, and backdrops are very large and do not fit through normal doorways. Some of them have to be disassembled, which will require our movers and/or florist to remove the florals, disassemble the item, transport it to the new location, then reassemble, and re-apply the florals.

 

We require our own team to move any items unless approved from us prior to the event. This is due to insurance, which will not cover anyone outside our team or a industry professional to handle our items. Please be sure to check with your venue to confirm our rentals will fit in the desired space.

 

All orders include delivery, setup, and pickup, with a pickup time of no later than 9:00 PM, and delivery within 40km of our warehouse. Pickups past 9:00 pm will incur an additional fee. The delivery cost for orders outside of 40km is typically a dollar a kilometer, but will be determined based off of location and whether or not it involves setup from our movers and/or florist. Please email us and we can give you a quote for this price based off these two factors.

 

Any pickups past 9PM are subject to a late night pickup fee, which can be found below:

9:30PM charge of $50

10PM charge of $100

10:30pm charge of $150

11PM charge of $200

1130pm charge of $250

12AM charge of $300

 

Product Handling: No rentals can be left outside overnight, including the altars, arches, or backdrops of any kind, as well as all floral arrangements. The arches cannot be in the rain due to damage. If there is rain coming and the arch is outside we will come get the arch early.

 

No one is allowed to transport, take-down, or move our product without prior written approval. Any damage incurred to our product beyond natural wear while renting our items will be charged to your card in the amount of 3 times the rental price of the item.

 

If an item is not returned within the rental agreement period of time, you will be charged 4 times the rental cost of the item and will be allowed to keep the item. Your credit card information is safely stored and will be deleted once the items are returned.

 

All décor must be communicated to Rose Haven Rentals Inc here to preserve the consistency of wedding/event. Any décor for the wedding/event not provided by Rose Haven Rentals Inc. is not be guaranteed by Rose Haven Rentals Inc. even in cases where Rose Haven Rentals Inc. items are integrated. In such cases, any alterations deemed necessary will be made to preserve consistency and Rose Haven Rentals Inc. will be blameless.

Venue and Location Limitations: Rose Haven Rentals Inc. is limited by the rules and guidelines of the location(s) and site management. Negotiation with the officials for moderation of guidelines is the responsibility of The Customer; Rose Haven Rentals Inc. will offer technical recommendations only. Reimbursements will not be made for unused items due to venue limitations not communicated to Rose Haven Rentals Inc.

Cancellations: We require a 90 day cancellation notice. Because we require full payment upfront to reserve your date, cancellations made within the 90-day window will not be eligible for a refund. In the event of a war, fire, tragedy, pandemic, natural disaster, or other emergencies within 90 days of your wedding/event, we will move your booking and payment free of charge to another date.

Refunds for cancellations made outside the 90-day window will not be issued in full; they will exclude the payment processing fees, as well as any time we spent in communication with you, the time spent forming the proposal, any time spent working on your event preparations, fees charged by our banking institution for refunds, and fees associated with making the items available for online rental.

Rose Haven Rentals Inc. reserves the right to cancel this contract if at any time Rose Haven Rentals Inc. feels that the obligations cannot be met. Rose Haven Rentals Inc. will credit the amount paid, minus any actual costs incurred up to that point that Rose Haven Rentals Inc. informs you.

Any controversy or claim arising out of or relating to this contract, or the breach thereof, shall be settled by arbitration administered by the ADR Institute of Canada (ADRIC) in accordance with its Arbitration Rules of the ADR Institute of Canada (ADRIC) [including the Optional Rules for Emergency Measures of Protection]. The arbitration hearing shall take place in Ontario, Canada before a single arbitrator. Judgment on the award rendered by the arbitrator may be entered in any court having jurisdiction thereof.
